JOB TITLE: Administrative Assistant

LOCATION:  Petrojam Limited – Occupational Health Unit, Kingston

DESCRIPTION: Provide strong administrative support to the Occupational Health Unit, by helping to organize the day-to-day operations and by providing the required support services; Performing a variety of routine and semi-routine Secretarial and Clerical duties for the OH Unit; Responsible for the efficient and orderly functioning of the OH Unit; Record and type all forms of dictation, including correspondences, meeting agendas and all meeting minutes; Assist in arranging pre-employment, annual and periodic medical examinations; Assist in checking and monitoring health insurance claims; Enter sick leave on health related information on the HRIS system; Provide monthly reports on sick leave data and associated costs

QUALIFICATIONS: Have a Diploma in Management Studies/Business Administration; Be a Certified Professional Secretary (CPS); Be a Certified first-aider or emergency first responder; Have a minimum of two (2) years’ experience in a similar capacity; Be flexible to work on shift when required; Ability to perform administrative assignments with a high degree of accuracy; Good interpersonal skills; Ability to relate well to all levels of staff and external persons; Ability to use emotional intelligence to understand team dynamics; Excellent organizational skills; Strong attitude towards service and provision of complete staff work; Good verbal and written communication skills; Proficient with MS Office Tools (Word, Excel, PowerPoint)
