Location: International Seabed Authority, Kingston

Description: Perform a wide range of support and administrative functions for the Office of Legal Affairs; Respond or draft responses to routine correspondence and other communications; use standard word processing packages to produce a wide variety of large, complex documents and reports; Proofread documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format; Screen phone calls and visitors; respond to moderately complex information requests and inquiries, and where necessary, refer inquiries to appropriate personnel for handling; Provide secretarial, administrative and logistics support to workshops and the annual sessions of the Authority; Assist in the preparation of presentation materials using appropriate technology/software; Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff inside and outside of the Office of Legal Affairs; Perform data entry and extraction functions; Perform general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations); Maintain files (both paper and electronic) and databases for work unit; Perform other duties as assigned; Under the supervision of the Librarian, enter data from books, journals, and periodicals into the library management system; Assist with organizing, cataloguing and maintaining archives of conference documents; Assist the librarian as necessary in routine library tasks; Effectively deliver a wide range of administrative and office support functions under moderate supervision.  

Qualifications: High school diploma or equivalent. Experience in general office support or related area is desirable; Knowledge of general office and administrative support including administrative policies, processes and procedures; Show pride in work and in achievements; is conscientious and efficient in meeting commitments, observe deadlines and achieve results; Speak and write clearly and effectively; Listen to others, correctly interpret messages from others and respond appropriately; Ask questions to clarify, and exhibit interest in having two-way communication; tailor language, tone, style and format to match audience; Demonstrate openness is sharing information and keeping people informed; Work collaboratively with colleagues to achieve goals; is willing to learn from others; Identify priority activities and assignments; adjust priorities as required; Allocate appropriate amount of time and resources for completing work; use time efficiently; Consider all those to whom services are provided to be “clients”; identify clients’ needs and matches them to appropriate solutions; keep clients informed of progress or setbacks in projects; meet timeline for delivery of products or services to client; Keep abreast of new developments in own occupation/profession; Actively seek to develop oneself professionally and personally; Show willingness to learn from others; Seek feedback to learn and improve; Keep abreast of available technology; show willingness to learn new technology; English.
