JOB TITLE: Senior Secretary – OPS/SS 3

LOCATION:  Ministry of Health, Kingston

DESCRIPTION: Schedules, compiles and keeps records of appointments; Organizes meeting venue and informs attendees of meetings beforehand; Implements and maintains an internal filing system for the Director HRM&D; Types documents using appropriate computer program; Drafts letters of a routine nature for the Director’s signature; Receives, records, sorts and distributes incoming mail, initiates prioritization of those which are urgent; Maintains records for incoming and outgoing documents; Liaises with Regional Health Authorities on matters of meeting and provide information upon the Director’s request; Retrieves information from Registry, Documentation Centre upon request; Arranges for correspondence to be photocopied; Transmits facsimile documents to other Public Sector entities, Regional Health Authorities, etc.; Receives, screens and routes visitors to appropriate individuals; Assists other Officers of the Division with producing /reproducing typed documents; Keeps office suitably equipped with office stationery; Any other related duties that may be assigned from time to time

QUALIFICATIONS: A qualified and competent secretary; Be proficient in word processing, typewriting and shorthand; Successful completion of the Certificate in Administrative Management Level 2 (CAM 2) course for secretaries conducted by the Management Institute for National Development; Diploma in Secretarial Studies Further information on the positions may be obtained from the Ministry’s website at http://www.moh.gov.jm
